PCF PEC Survey Data Collection Schedule

The data collection schedule for Performance Year (PY) 2022 of the PCF PEC Survey is listed in Exhibit 5-1 of the Quality Assurance Guidelines (QAG) (and repeated in the Figures in Section 5.5). Note the following dates:

  • Teaser Postcard- 9/26/2022
  • Help Desk open- 9/27/2022
  • First Questionnaire Mailing- 10/3/2022
  • Reminder Postcard- 10/10/2022
  • Second Questionnaire Mailing- 10/31/2022
  • Telephone follow-up- 11/21/2022
  • Data collection end/Help Desk close- 12/18/2022

The PCF PEC Survey team understands that some vendors may have a larger volume of surveys to mail and may not be able to mail all surveys out in one day. The estimated mailing date ranges can be found on the PEC Survey home page and on the implementation timelineHowever, all data collection activities must begin on the first date listed, which corresponds to the date listed in the QAG. For example, the second questionnaire mailing estimated window is 10/31/2022 - 11/04/2022. Therefore, all second mailings must begin on 10/31/2022.

Adhering to the 12-week data collection timeline according to the dates listed in the QAG ensures that the mailings and phone calls are staggered appropriately and according to CAHPS protocols, which are shown to increase response rates overall.
